Have you clearly defined a stakeholder?

The buck has to stop somewhere.

Decision makers do not appreciate being called on last-minute.  Chances are, you may not receive the stamp of approval you assumed would be granted, and the video company won’t produce a second version for free.

Keep the boss in the loop and out of the way.  Take ownership of your project, but keep the higher-ups involved and aware of the direction and progress.
